Most institutions either over-restrict AI or under-govern it. Both approaches fail over time.
A balanced control model
Start with three classes of usage:
- Open use: brainstorming, language polish, ideation.
- Guided use: learning support, coding help, research summaries.
- Restricted use: grading decisions, disciplinary processes, official compliance outputs.
Minimum controls by default
Every approved AI workflow should include:
- output disclosure rule (when AI assistance must be declared),
- prohibited data list (student records, sensitive internal docs),
- review rule for high-impact outputs.
Incident workflow
Create one reporting channel for AI misuse or failure. Treat issues as operational incidents:
- detect,
- contain,
- document,
- update controls.
Safety improves when teams can report problems quickly without fear of blame. Governance should increase confidence, not stop innovation.
